Our website provides a quotation Form (Contact Us). If you require a quote minimal contact information is needed (your name and email address) together with brief details about your event and the entertainer or service you are enquiring about.
CLIENT QUOTES (VIA – CONTACT US FORM OR E MAIL REQUEST OR PHONE CALL)
The legal basis on which your information is processed for the purpose of providing you with a quote is Contract.
Once a quote has been e mailed to you, your details will only be retained until the date of your event, after which they will be deleted unless you have made a booking in the meantime or given your permission for us to send e mail newsletters.
The legal basis on which your information is processed for the purpose of completing a booking is Contract.
If you want to make a booking further details will be requested (Address, Phone number and payment details), together with full details about your booking. This information is needed for administration of your booking and will be kept securely. Details about your booking will be provided to your entertainer(s) in order that they may provide the entertainment you have booked. These may include your name, phone number, venue address and relevant details about your booking.
For bookings up to £199 we will e mail you our Terms of Business and a simple confirmation of booking. For bookings of £200 or more we will e mail you our Terms of Business and request your consent to e mail a Contract via Adobe E Sign for completion by electronic signature. Adobe E Sign Electronic signatures are legal and trusted in countries around the world. Adobe E Sign Electronic Signatures are fully compliant with the GDPR.
WHO DO WE SHARE YOUR INFORMATION WITH?
We sometimes need to share your personal information with yourself and also with other organisations including:
- Associates and representatives of the person whose personal data we are processing
- Current, past and prospective Costello Entertainments artists, agents, bookers and venues providing entertainment services
- Suppliers and service providers
- Central government
- Credit reference agencies
- Debt collection and tracing agencies
- Financial organisations including Costello Entertainments bank and accountants
When it is necessary to share information Costello Entertainments are required to comply with all aspects of the GDPR.
It may sometimes be necessary to transfer personal information overseas. This is only shared within the European Economic Area and any transfers made will be in full compliance with all aspects of the GDPR.
HOW DO WE TREAT YOUR PERSONAL DATA?
All items of personal data are stored electronically on either our:
- Booking management system
- E Mail system
- Computer system
- Banking system
- Printed records
All of our systems are password protected and access is limited to only those Costello Entertainments personnel who specifically need to process the data. In addition, we undertake a regular review of all the information we hold.
HOW WE WILL CONTACT YOU
Costello Entertainments will use your phone number and email address to contact you according to your preferences, and from time to time we may use social media (e.g. Facebook, Twitter and message facilities in other platforms).
You can change your preferences at any time by contacting us (see below). In the case of social media messages, you can manage your social media preferences via that social media platform.

The legal basis on which your information is processed for the purpose of sending you E Mail Newsletters is Consent.
You have the right to withdraw your consent for us to send you E Mail Newsletters at any time by unsubscribing directly from within E Mails or by contacting us (see below).
ARTISTES (VIA – ARTISTES SIGN-UP FORM OR E MAIL REQUEST OR PHONE CALL)
The legal basis on which your information is processed for the purpose of assessing your application for representation, maintaining your data or for representing you as your Agent is Legitimate Interest.
If you are an Artiste and enquire about representation (via our Artiste Sign-Up Form), basic contact information is needed (your name, email address and telephone number) plus further information about your act which is legitimately needed for assessment purposes. If we don’t offer to represent you, your information will be deleted from our e mail system within 12 months.
If we offer to represent you, in accordance with the Conduct of Employment Agencies and Employment Businesses Regulations 2003 (as detailed in Statutory Instrument 2003 No. 3319) we will e mail our Registration Form for you to complete together with our Terms of Business. These documents will need to be completed, signed and returned together with relevant documents which may include your ID documents, public liability insurance, DBS details and PAT test document for any electrical equipment used in your act. We will also need your Bank details in order to pay you and a full publicity pack to include you on our website. Artistes information is maintained securely in our systems for as long as our working relationship continues. Relevant documents are deleted as they expire and are replaced by updated documents.
Details about you will be provided to the client in order that they are familiar with you and your act. These may include your name, your act name, phone number, and relevant details about your act together with public liability insurance, DBS number and PAT test document for any electrical equipment used in your act.
CLIENT DATA – We will keep details of financial transactions for 6 years in compliance with HMCR Tax Regulations.
ARTISTE DATA – We will keep details of financial transactions made on your behalf for 6 years in compliance with HMRC Tax Regulations. We will keep details of contracts, confirmations and/or letters of agreement for work negotiated on your behalf for 1 year after the relevant engagement. Such records may be in written or electronic form. If our working relationship ends we will delete your information from our systems entirely after the foregoing periods have elapsed. If you aren’t accepted for representation following your application, your data will be deleted within 12 months. Artiste’s public liability insurance and PAT documents are deleted or shredded when they expire within 12 months. DBS documents are deleted or shredded within 6 months and only such details are retained as recommended in Government guidance.
CREDIT / DEBIT CARD DATA – You may provide your card data by phone to pay us for our services. This data is used for the transaction(s) you authorise and is not retained in electronic form. We comply with card industry PCI DSS Standards and don’t retain any hard copy card data that could be used by third parties to make fraudulent transactions.
E MAIL NEWSLETTERS – Your Name and E Mail address will be retained in Dotmailer unless you unsubscribe from within a Newsletter or request removal separately.
EMPLOYEE DATA – Retained for 6 years after the end of employment.
We use WordPress.org to publish this website. No personally identifiable information is stored on this website except for clients or visitors who want to leave reviews about our Artistes. In those cases alone WordPress requires you to enter your name and e mail address when you leave a review.
Our website search engine is simply a database search to assist visitors. No personally identifiable information is collected.
We use a third party service to maintain security on our website. Only visitors IP addresses are processed without any personally identifiable information being obtained or retained. In addition we have put in place physical, electronic and management procedures to protect your information.
VISITORS THAT E MAIL US
Visitors should be aware that our e mail service is protected using Secure Transport Layer Security TLS. If your e mail service isn’t supported by TLS any e mails you send and any replies we return may not be protected.
E Mails you send including any attachments are monitored for viruses or malicious software. Please be aware that any e mails you send should be lawful.

Artistes information may be transferred to another country or organisation within the European Union in connection with a booking.
CAN I MAKE A COMPLAINT?
In the first instance you should e mail us at the e mail address below with your concerns and precisely what you would like us to do with your information and we will reply within 21 days. We will always comply with your request unless we have good reasons within the GDPR not to do so. If we have not complied with your request without good reasons within the GDPR and have not replied setting out those reasons within 21 days, you have the right to complain to the Information Commissioner’s Office.
